The service is provided by Intergate Visalink (Pty) Ltd. ("Visalink") a company incorporated under the laws of South Africa. You can write to us at Intergate Visalink (Pty) Ltd., 199 Loop Street, Graphics Centre, Cape Town 8001, South Africa.
Visalink operates receiving centres (Visa Application Centres) for Schengen Visa application for travellers to Germany, in Centurion, Port Elizabeth, Bloemfontein and Cape Town.
Visa Application Service
Visalink is the outsourced partner of the German mission in South Africa.
In this capacity, Visalink is authorized to schedule visa application appointments and operate visa application(s) centres as receiving centres for Schengen visa applications.
i. Please note that whilst Visalink has been appointed by the German Embassy and Consulate General for the process of receiving Schengen Visas at their Visa Application Centres, the visa assessment and decision making process is the sole responsibility of the German authorities.
Visalink has no influence on whether a visa is issued or not what type of visa is issued or its period of validity, number of entries and duration of stay. Such decisions will be solely made by the German Embassy and the Consulate General in accordance with Germany's relevant laws and regulations.
Any processing times for visas given are estimates only and based on information from the German Embassy and Consulates General in South Africa. The processing of your application is subject to the procedures and time scales of the German missions in South Africa, over which we have no control.
ii. Applicants are required to pay a service fee to Visalink, regardless of approval or disapproval of his or her application by the Embassy and the Consulate General. The service fee is non-refundable and is ZAR 380 incl. Biometrics. This is not the visa-fee chargeable by the German authorities. The visa fee is the equivalent of € 60. The fee has to be paid in South African Rands upon application (for exceptions please see requirements/information sheet "Visa Fees"). Please check the website of the European Central bank for the current amount.
iii. In order to facilitate the assessment and processing of your visa application by the Embassy and the Consulate General, please ensure the following:
You have prepared all the documents that are required and ensure they are genuine and credible. All documents, application or declaration forms, any invitation letters, your passport etc. need to be signed and dated. Complete, in full, the visa application form with true and accurate information.
iv. Please note that the German Embassy and the Consulate General have the right to request additional supporting documents during the application process.
Please note that each visa application is reviewed individually.
Therefore, the requested documents may vary.
The submission of the documents as per the checklist does not guarantee the issuance of a visa.
Applicants can, at any time, be asked for a personal interview.
Submission of incomplete documentation or refusal to attend a mandatory visa interview will lead to a refusal of your visa application.
Once a visa has been issued, the purpose of the trip may not be altered.
As of the beginning of June 2013, the German Missions started working with the Visa Information System (VIS).
All applicants must appear and apply in person so that the necessary biometric data (ten fingerprints) can be collected.
v. Visa applications should be submitted sufficiently in advance to ensure that the processing and issuance of your visa can be made in time for your planned departure date. You would usually be required to apply at least one month prior to your intended date of entry into Germany.
vi. Once a visa has been issued please ensure to carefully check the details of your visa for correctness. If you are collecting the visa in person and have any queries concerning your visa please contact the counter staff immediately.
If your passport (containing the visa) is to be couriered back to you and you have queries concerning the visa please contact the Consulate General directly.
vii. Please note that you will be responsible for any consequences arising from the following: Being unable to travel due to your visa becoming invalid either as a result of your own actions or any act by a third party acting on your behalf
In the event that you are refused to board an aircraft or to enter Germany due to your failure to check all the information printed on your visa including your name, birthday, nationality, your visa's number of entry, period of validity and duration of stay as well as the number and validity of your passport before departing for Germany. Your visa cannot be used due to other reasons of your own account.
viii. In accordance with relevant laws of South Africa, Visalink shall take any precaution necessary to ensure the safety of the applicant's personal data and documents, but it shall not be liable for any consequences due to events or acts beyond its reasonable control such as natural disasters, unforeseen accidents and robbery (Force Majeure), etc, which may occur when the information and documents are in transit between Visalink and the German Embassy or the Consulate General.
ix. If an applicant chooses to request for his appointment by telephone, or requests return delivery by courier service of his processed application, Visalink shall not be responsible or liable for any delay, delivery to a wrong address, or damage to or loss of the documents as a result of negligence by any mail service or company.
x. Where confirmation of the appointment is not received it is the applicants responsibility to ensure they follow the steps outlined in the following link/page to make an appointment .
xi. Applicants who arrive no later than 15 minutes after their original time of appointment, will be accommodated during the next available time slot on the same day or alternatively rescheduled for another day depending on the availability of the VAC free of charge.
Applicants can re-schedule their appointment once for free. This can be done up to 24 hours before the appointment by contacting the call centre. The cancellation of an appointment will be for free.
Re-scheduling an appointment is possible 24 hours prior to your appointment by contacting the call centre, however only once per appointment. Should applicants not show up for their appointment (No Shows), they can schedule a new appointment within 14 days. "No shows" will have to pay a service fee of R100 for a new appointment. Notification thereof must be provided 24 working hours prior to the appointment date, by contacting the call centre on 0861 002245.
xii. Except for the refund of the service fee, if we are negligent and make the wrong appointment or you miss an appointment, Visalink excludes its liability in connection with its services, visa appointments, visa applications, and help, support, information and advice given, including liability in or under contract, negligence, tort, statute or otherwise howsoever, and including liability delays involving the German Embassy and Consulates General in South Africa, and fraudulent use of debit/credit cards.
For the loss or damage of parcels send to the applicant private address, Intergate Visalink explicitly states that the contract for courier services rendered is in effect between the courier company RAM and the client. In all instances where the courier company can't be held liable by the applicant and if agreed by its management on an individual basis, Intergate Visalink limits its liability to the maximum amount of ZAR 2,000 for the loss of parcels due to hijackings of the courier vehicle
xiii. Visalink may at any time amend or vary the terms and conditions.
xiv. The above terms and conditions shall be governed by the law of South Africa.
xv. Applicants agree and confirm that they have read and understood the terms and conditions prior to submitting appointment applications to Visalink.
xvi. Detailed description of goods and/or services:
Visalink (Pty) Ltd. is an outsourced service provider that provides an appointment making process and all related functions for receiving Schengen visa applications for the German embassy and the German Consulate General in South Africa.
xvii. Delivery policy:
Subject to availability and receipt of payment, requests will be processed within 2 days and appointment booking confirmed by means of a reference booking number.
xviii. Return and Refunds policy:
The provision of goods and services by Visalink are subject to availability.
xx. Payment options accepted:
Payment may be made by: Credit Card (Visa Card / Master Card) (online, call centre & at VAC's),
Electronic Funds Transfer (EFT) (online, call centre & at VAC's), Cash Deposit (online, call centre & at VAC's), other payment types (only at the Visa Application Centres). Payments made using Visa credit cards or MasterCard will incur a transaction fee of 2.5% of the total visa and service fee for processing the transaction.
xxi. Credit card acquiring and security:
Credit card acquisition transactions will be processed for Visalink by PayGate (Pty) Ltd who are the approved payment gateway for ABSA South Africa. PayGate uses the strictest form of encryption, namely Secure Socket Layer 3 (SSL3) and no credit card details are stored on the website. Users may go to www.paygate.co.za to view their security certificate and security policy.
xxii. Customer details separate from card details:
Visalink will store Customer details separately from their card details which are entered by the client themselves on PayGate's secure site. For more details on PayGate refer to www.paygate.co.za
xxiii. Merchant Outlet country and transaction currency:
The merchant outlet country for those using the card payment option is South Africa therefore the transaction currency is South African Rand (ZAR).
Visalink takes responsibility for all aspects relating to the transaction included in the sale of goods and services sold on this website, i.e. customer service and support, dispute resolution and delivery of goods.
xxv Country of domicile:
This website is governed by the laws of South Africa and Visalink chooses it as its domicilium citandi et executandi for all intents and purposes under this agreement, whether in respect of court processes, notices, or other documents and communication of whatsoever nature.
Visalink may, at its sole discretion, change this agreement or any part thereof at any time without notice.
xxvii. Company information
This website is run by Intergate Visalink based in South Africa trading as Intergate Visalink (Pty) Ltd. and with registration number Reg No 2009/082867/23.
xxviii. Courier Service:
Applicable for South African provinces only (Not available for Lesotho and Swaziland),
at an additional cost of R195, the decision concerning your application and your passport can be returned to you via courier. A delivery address where you will be present during office hours must be supplied.
Please ensure that you have allowed sufficient time for the return of your passport. A charge of R30 will be incurred should the courier service be cancelled after the service was ordered and a refund of the courier fee be required.
